Our mission is to help healthcare provider organizations establish more consistent, manageable prior authorization operations through practical systems, tools, training resources and implementation guidance—while making the WHY behind each step clear and keeping patient care at the center.
Built from hands-on experience across provider and payer operations, our resources help teams understand what to verify, why it matters, who owns the next step and how the work connects to coordinated care. We aim to reduce avoidable errors, confusion, rework and frustration. As healthcare technology evolves, our goal is to develop adaptable systems and appropriate automation that support informed decisions and the people responsible for the work.
PA Workflow Systems LLC is an Idaho business founded by Reya Nicholson. Our products are practical provider-side workflow resources; they do not provide clinical decisions, payer determinations, EHR connections or guaranteed outcomes.

Workflow Systems & Toolkits
The Prior Authorization Submission Survival Kit ($129) combines a connected Excel status and follow-up tracker, an editable Word provider-call guide and seven PDFs. It supports order readiness, benefits and routing verification, submission preparation, follow-up, staff training and care coordination. Staff enter and verify information; the kit does not connect automatically to an EHR or payer system.
Team & Department Solutions
Clinic Team Edition — $499. Two Excel workbooks, ten editable Word resources and sixteen PDFs for workflow, training, handoffs and review. License: up to 10 internal users in one clinic/location or operational team.
Department Edition — $999. Two Excel workbooks, fifteen editable Word resources and twenty-one PDFs, including department KPI and location review. License: up to 50 internal users across up to 5 locations within one legal organization or department.
Before you buy
These are downloadable PDF, Word and Excel resources. Staff enter and verify the information. Excel workbooks have fixed prepared ranges: the Status Tracker has 150 case rows and 150 rows per linked log; the Audit Tracker has 150 audit rows; Clinic and Department operations each have 300 case rows. Clinic event logs have 500 rows; Department event logs have 400 rows. A larger license does not increase workbook capacity.
Assign one accountable workbook owner and control edits to one working master. Simultaneous multi-user editing, automated synchronization and automatic range expansion are not verified features. Keep patient information in your organization’s approved systems. Do not send patient information through this website, Gumroad, email or support messages.
The $129 Survival Kit overlaps the Checklist, Call Guide, Delay Points and Status Tracker, which total $85 separately. The kit also includes the staff guide and connected training and review instructions; it is not advertised as a price discount. Clinic adds team implementation and training resources. Department adds department governance, workload and location/KPI review and a broader license; it has the same 300-case capacity as Clinic.

License, support and updates
Products 01–06: One named purchaser may use and adapt the resources for that purchaser’s own work within one employer or clinic. Source files may not be resold, redistributed externally or reused for consulting clients. Internal completed outputs may be shared for ordinary workflow work. Additional source-file users need their own purchase or the applicable Clinic/Department license. Existing buyers retain any broader rights already expressly granted.
Clinic and Department: Existing license limits remain unchanged: Clinic permits up to 10 internal users in one clinic/location or operational team; Department permits up to 50 internal users across up to 5 locations within one legal organization and department. These limits do not expand workbook capacity or establish simultaneous editing support.
Support: Email support covers download/access issues and reproducible defects in unmodified purchased files, using fictional data and the tested Excel environment. Our initial response target is two business days, Monday–Friday excluding U.S. federal holidays. This is a response target, not a resolution guarantee.
PA Workflow Systems LLC primarily develops digital prior authorization workflow resources and operational systems. Individual product purchases do not include personalized consulting, custom implementation, or ongoing advisory services unless expressly stated.
Separate consulting or workflow improvement services may be considered upon request, with scope, availability, and pricing agreed upon independently.
Defect remedy: Report a reproducible defect in an included function within 30 days of purchase. We provide a corrected file; if the included function cannot be restored within ten business days after verification, we offer a refund of the affected product. Change-of-mind sales remain final, subject to applicable mandatory rights; duplicate charges receive review for correction.
Updates: Purchase includes the version described at purchase and corrections to defects in its included functions. Future features, new products, untested compatibility and ongoing consulting are not promised. Existing populated files are not automatically synchronized with replacement downloads.
Excel: v1.3 workbook candidates passed focused desktop acceptance in Microsoft 365 Excel Version 2609, Build 20430.20146, Click-to-Run, Current Channel. Check each listing for the version currently delivered. Google Sheets, Numbers, simultaneous editing and automatic range expansion are not verified features.
